Before adopting hotel AI, ask a better question

AI offers exciting possibilities for hospitality teams. The first step is knowing which decision or workflow actually needs improving.

Hospitality businesses are presented with AI tools for content, pricing, guest messaging, forecasting, reporting and more. Many demonstrations are impressive. Fewer explain where the operational benefit comes from or how a team can judge whether the result is reliable.

Define the work before the tool

Rather than asking “Where can we use AI?”, start with “Which repeated task consumes attention without requiring a new commercial decision every time?” Examples may include summarising weekly digital performance, categorising enquiries or preparing a first draft of an internal report.

Workflows are easier to evaluate when you know the current time spent, the errors or delays involved, and what a successful outcome looks like.

Keep the commercially important decisions human-led

An AI-generated recommendation about room rates, guest communication or campaign investment may be useful input, but it should not become an automatic instruction without considering data quality, brand position and business context.

A good pilot question:
Can a small, controlled AI workflow reduce manual reporting effort while helping commercial leaders identify the same issues with greater clarity and traceability?

Evaluate ideas with four filters

  1. Value: Will this materially improve a recurring business outcome or free meaningful staff time?
  2. Data readiness: Is the necessary information available, accurate and authorised for the proposed use?
  3. Risk: What happens if the output is wrong, incomplete or delivered to the wrong person?
  4. Adoption: Will the team understand the output and incorporate it into an actual workflow?

A sensible first experiment

Choose one reporting process that currently involves spreadsheets and manual commentary. Use synthetic data or appropriately authorised business summaries to test whether an AI-assisted draft can highlight material changes and questions for review. Keep the original calculation and source evidence visible so a person can verify each claim.

If the experiment saves time and maintains quality, expand gradually. If not, you have learned something valuable without committing to a large platform.

The best AI roadmap begins with a business problem that survives the hype cycle.
